Terms & Conditions

All reservations are subject to availability and must be confirmed in writing by Jaci's Private Lodge. A booking is only confirmed once a deposit has been received and a written confirmation issued.

Deposit Requirements: A 25% deposit is required at the time of booking. The remaining balance is due 45 days prior to arrival. Full payment is required for bookings made within 45 days of arrival.

Payment Methods: We accept bank transfers (EFT), credit cards (Visa and Mastercard), and international wire transfers. All banking charges are for the guest's account.

Only written cancellations will be accepted. Must receive an acknowledgement of cancellation from our reservations office. The following cancellation fees apply:

• More than 45 days prior to arrival: Loss of deposit (25%)
• 45 days or less prior to arrival: 100% of total booking value

Peak Season & Festive Period: Different cancellation terms may apply during peak seasons and festive periods. These will be communicated at the time of booking.

Failure to arrive on the confirmed arrival date or early departure will result in forfeiture of the full booking amount with no refund.

Changes to confirmed bookings are subject to availability and may incur administrative fees. Date changes made within 60 days of arrival may be treated as cancellations and subject to cancellation fees.

We reserve the right to alter itineraries, accommodation arrangements, or activities due to circumstances beyond our control, including adverse weather, mechanical breakdown, or force majeure events.

We strongly recommend that all guests purchase comprehensive travel insurance covering cancellation, curtailment, medical expenses, emergency evacuation, personal accident, baggage, and personal liability.

Jaci's Private Lodge accepts no responsibility for costs incurred due to travel delays, illness, or other unforeseen circumstances.

Children of all ages are welcome at Jaci's Private Lodge. However, parents and guardians are solely responsible for the safety and conduct of their children at all times.

Age Restrictions: Children under 5 years are not permitted on shared game drives but may participate in private vehicle game drives. Bush walks are restricted to guests 16 years and older.

Rates: Children 0-5yrs have a fixed rate. Children aged 6-12 are charged 50% of the adult sharing rate when in a room with an adult.

Malaria: Madikwe Game Reserve is located in a low-risk malaria area. Guests should consult their doctor regarding prophylaxis, particularly during summer months (November to April).

Medical Conditions: Guests with pre-existing medical conditions, mobility issues, or dietary requirements must inform us at the time of booking. Safari walks require a doctor's certificate for guests over 60 years.

Safety Protocols: All guests must comply with guide instructions during game drives and activities. Wild animals are unpredictable, and failure to follow safety protocols may result in serious injury or death.

Jaci's Private Lodge, its owners, operators, and staff accept no liability for death, personal injury, illness, or loss or damage to property, except where such liability cannot be excluded by law.

Guests participate in all activities at their own risk. Safari activities involve inherent risks including close encounters with dangerous wild animals.

Jaci's Private Lodge is not liable for loss or damage to personal belongings. Guests should ensure valuables are adequately insured.

We reserve the right to refuse or terminate the stay of any guest whose behavior is deemed disruptive, dangerous, or offensive to other guests or staff. No refund will be provided in such circumstances.

Smoking is prohibited in all indoor areas. Designated smoking areas are available outdoors.

All rates are quoted in South African Rand (ZAR) unless otherwise stated. Rates are subject to change without notice until a booking is confirmed and deposit received.

Rates include accommodation, all meals, select beverages, twice-daily game drives, and standard lodge activities unless otherwise specified. Specialist experiences (bush walks, Naledi Sleepout, spa treatments) may incur additional charges.

Jaci's Private Lodge shall not be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to: acts of God, war, terrorism, civil unrest, natural disasters, government restrictions, pandemics, or epidemics.

In such events, we will work with guests to reschedule or provide alternative arrangements where possible, but no refunds will be provided for circumstances beyond our control.

Guest information is collected and processed in accordance with our Privacy Policy and applicable data protection laws. We will not share personal information with third parties except as required to provide services or as required by law.

These terms and conditions are governed by the laws of the Republic of South Africa. Any disputes shall be subject to the exclusive jurisdiction of South African courts.
